Your facility management software (FMS), your website and online rentals, your access control and your marketing tools are often separate bills. Many vendors combine several of these. A website might be per location with tiers, while an FMS adds processing fees on every payment.
What adds to the total
- Payment processing: often the biggest cost after the subscription, because it grows with your rent roll. Ask for the exact rates.
- Add-ons: call handling, revenue management, tenant protection or insurance programs, extra pages or locations.
- Setup and migration: moving tenant data from another system takes time, and some vendors charge for it.
- Third-party tools: e-signature, access control hardware and integrations can each have their own fees.
- Contract terms: annual commitments, minimum terms and price increases at renewal.
How to compare quotes
Ask every vendor for the same thing: the full monthly and one-time cost for your exact number of locations, including processing, the add-ons you'd use from day one, and setup. Then compare:
- the total monthly cost per location, including everything;
- the one-time cost to launch;
- what each plan actually includes, not just its name;
- what it costs to leave: data export, notice period, early termination.
A cheaper subscription with high processing fees or many paid add-ons can cost more each year than a higher subscription that includes them.

Is "free" software really free?
Some websites and tools are offered as "free" or "included" with another product. Ask what you give up: control over the website, its search performance, the checkout, or your data.
